Who I am
This policy explains how Harry Smith, trading as Harry Smith Golf Coaching, collects and uses your personal information when you use this website, book a lesson, buy a package or gift voucher, or get in touch. I am the data controller for that information under UK data protection law (the UK GDPR and the Data Protection Act 2018).

What information I collect
I only collect what I need to coach you and run the business.

 

  • Contact details: name, email, phone number. From booking, account sign-up, contact form, gift voucher purchase.

  • Booking and package details: lessons booked, packages and remaining sessions, attendance, cancellations. From Wix Bookings and Pricing Plans.

  • Payment details: amount paid, date, payment status. From online checkout (card details are handled by the payment provider, not by me).

  • Gift voucher details: buyer and recipient names, recipient email, personal message. From gift voucher checkout.

  • Coaching information: your goals, handicap, swing notes, Trackman data, relevant injuries or physical limitations you tell me about. From you, during lessons.

  • Lesson video and photos: swing video and photos taken during lessons. From me, with your agreement.

  • Messages: what you write in the contact form, emails or texts. From you.

  • Website usage: pages visited, device and browser type, approximate location. From cookies and similar technology (see Cookies below).

 
If you tell me about an injury or medical condition, I treat it as sensitive information and use it only to keep your coaching safe.

 

How and why I use it
The law requires a reason (a "lawful basis") for each use of your information.

 

  • To take bookings, deliver lessons, manage packages and vouchers, and send booking confirmations and reminders. Lawful basis: contract (needed to provide what you bought).

  • To take payments and keep accounts and tax records. Lawful basis: contract and legal obligation.

  • To answer your enquiries. Lawful basis: legitimate interests (replying to people who contact me).

  • To tailor coaching using your swing notes, Trackman data and lesson video. Lawful basis: contract, and your consent for video.

  • To use health information you share, so lessons are safe. Lawful basis: your explicit consent.

  • To send news, tips and offers by email. Lawful basis: your consent, which you can withdraw at any time using the unsubscribe link.

  • To keep the website working and secure, and understand how it is used. Lawful basis: legitimate interests, and consent for non-essential cookies.

 
I do not sell your information, and I do not use it for automated decision-making.

 

Who I share it with
I share your information only with services that help me run the business, and only what they need:

 

  • Wix.com hosts this website and runs the booking, pricing plan, gift voucher, member account and contact form systems.

  • Payment providers (such as Wix Payments and any card or wallet provider you choose at checkout) process your payment. I never see or store your full card details.

  • Google (Google Calendar) holds my coaching diary, which includes booking times and client names.

  • Email and messaging services I use to contact you.

  • Cowdray Park Golf Club, only where needed to arrange your lesson or on-course session (for example, a tee time or facility booking).

  • My accountant and HMRC, for accounts and tax.

 
Some of these providers may store information outside the UK. Where they do, they use legal safeguards approved under UK law, such as the UK International Data Transfer Agreement or standard contractual clauses.

 
I may also share information if the law requires it.

 

Juniors, photos and lesson video
Juniors (under 18): lessons for juniors are booked by a parent or guardian, who provides the junior's details and consents on their behalf. I collect only what I need to coach them safely.

 
Lesson video: I film swings during lessons to help you improve. This video is shared only with you and kept only as long as it is useful for your coaching.

 
Photos and video on my website or social media: I will only use images or video of you, or of a junior, if you (or their parent or guardian) have given clear permission first. You can withdraw that permission at any time and I will remove the content where I can.

 

How long I keep it and how it is protected

  • Booking, payment and invoice records: 6 years after the end of the tax year they relate to, as required for tax.

  • Client contact details and coaching notes: while you are an active client, then up to 2 years after your last lesson.

  • Lesson video: up to 12 months after it was recorded, unless you ask me to delete it sooner.

  • Contact form messages from people who do not book: up to 12 months.

  • Email marketing list: until you unsubscribe.

  • Gift voucher records: until the voucher expires or is used, then as for payment records.

 
Your information is stored on secure, password-protected systems, and only I have access to it. Payments are handled by the payment provider using encrypted connections.

 

Cookies
This website uses cookies: small files stored on your device.

 

  • Essential cookies make the site work, for example keeping you signed in and remembering your basket at checkout. These are always on.

  • Analytics and marketing cookies help me understand how the site is used and measure advertising. These are only used if you accept them in the cookie banner.

 
You can change your choice at any time through the cookie banner or your browser settings. Blocking essential cookies may stop booking and checkout from working.

 

Your rights and how to complain
You have the right to:

 

  • ask for a copy of the information I hold about you

  • ask me to correct information that is wrong or incomplete

  • ask me to delete your information, where I no longer need to keep it

  • ask me to restrict or stop using your information, or object to how I use it

  • ask for your information in a format you can take to another provider

  • withdraw your consent at any time, where I rely on consent

If you are unhappy with how I have handled your information, please tell me first so I can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

 
Changes to this policy: I may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
